Guidelines and advice against cyber criminality

I. To the attention of

Customers and suppliers of JEMA Belgium, especially procurement and accounting departments.

II. Purpose of this document

False billing, invoice fraud is a common trap used by criminals. The most common method consists in intercepting invoices or communications between customer and supplier – paper or electronic – and to modify the payment method or details. Such fraud can be significantly reduced by implementing a few simple tips, in particular by having a good communication and clear procedures between parties.

The purpose of these guidelines is to try to secure all payments made by our customers and be sure all wire transfers are executed to the appropriate bank accounts. These guidelines do not cover the approval workflow for any purchase order which needs to be discussed separately for any customer at management level. Consequently, these guidelines assume that all invoices or payment requests have been validly approved beforehand.

III. Content of the policy

Rules for payments

Payments by cash, debit/credit card or check are explicitly NOT ACCEPTED. Only the payment by bank transfer on the following bank accounts of JEMA are allowed.

If the above bank details do not match with the bank details included in your accounting/bank software, please do not perform any payment and directly contact JEMA. These bank details are also mentioned on all our invoices, they haven’t changed recently and they are not expected to change in the future.

Modification of Bank details – procedure

Although not foreseen, in case of a modification of JEMA bank details, the following procedure will apply:

  • An official electronic letter signed by JEMA CEO and CFO will be released
  • A secured RIB (Relevé d’Identité Bancaire – Belgian official Bank details) from JEMA (new) bank will be released
  • It is strongly recommended for the procurement to take a direct vocal contact with JEMA
What to do in case you executed a payment on the hacker bank account

In such cases, we recommend our customers to:

  • Contact his banker to stop the payment or asking the intermediary bank to stop the payment. JEMA banker will not be able to stop a payment initiated by another bank. It’s really important to get some support from the customer bank.
  • Contact JEMA to inform them.
  • File a complaint with the local police station for cyber criminality, identity theft and personal data theft.
  • JEMA cannot be held responsible for any payment executed by a customer on a hacker bank account
